Moiola PTA Job Descriptions

PROGRAM/COORDINATOR POSITIONSAssembliesThis position is responsible for arranging and scheduling various educational assemblies (approx 3-4/yr).
Basket RaffleWith the help from other volunteers, this position is responsible for coordinating with the classrooms the creating of various baskets to be raffled during Special Persons Day.
Box TopsThis position is responsible for coordinating and collection of boxtops to be redeemed for the benefit of Moiola. Typically, contests are held to encourage wider participation.
HospitalityThis moiola_position is responsible for providing refreshments to the PTA general association meetings and on some occasions, various PTA-sponsored events.
Jog for MoiolaThis positon works closely with the PTA Ways & Means Vice President to help organize and manage the annual Moiola Jog-a-Thon.
Parent volunteers will be recruited to assist in various tasks as needed.
Junior AchievementThis moiola_position involves contacting the teachers and finding out which ones are interested in bringing this program into their classrooms. Usually they will suggest parents who might be interested in teaching the business/economic lessons (there are five one-hour lessons.) Then the parents are contacted to find a volunteer for each interested teacher. If a parent volunteer can not be found, a contact at Jr Achievement will help find a volunteer from the community to teach that class (often banks and other large businesses will provide volunteers for the program).
Parent volunteers will meet with the Jr Achievement contact person for an orientation meeting to discuss the program. Afterwards, the parents will make arrangements with their particular teachers to discuss their topics with the class.
Additional duties involves making sure the volunteers have enough supplies for their classrooms. All materials are supplied by the Jr Achievement program.
Monday PacketsThis moiola_position is in charge of coordinating parent volunteers in preparing the weekly Monday packets. Depending on the school schedule meaning holidays/days off, usually Friday afternoons are set aside for this task. The volunteers will determine the time of the day that works for everyone involved.
The volunteer will assemble individual stacks of any take home papers from the front office for grades K-2nd and put them into their individual Monday take home envelopes. The stuffed envelopes are then placed in the appropriate teachers mail boxes. Grades 3rd-8th I count out stacks of take home papers from the front office one for the teacher and one for each student in that particular class. Then everything is stacked together and placed in the appropriate teachers mail boxes. The volunter then puts together 7 individual stacks of every take home paper and give them to Heather the office secretary. These are for the home schooled kids. Any extra papers are given to Heather. It can take anywhere from 1/2 an hour to several hours depending on how many papers there are for that particular week. There is a huge black and yellow rolling container filled with all the essential for the job, it is located under the teachers mail boxes. Sometimes the volunteer will usually do all the assembling in the teachers lunch room since it has many tables, is close to the mail boxes and copy machine if extras are needed.
Suggested: Either have 4 or more reliable people to help each week or split it up into grades with more than one person responsible or have the room parents be responsible for their individual class or grade.
Newsletter EditorThis moiola_position is responsible for the monthly PTA newsletters.
Actvities include collecting, reviewing, and editing articles to be submitted to the PTA president for final review. Must also oversee the printing and distribution of these newsletters in the weekly student packets.
Picture DayPicture day coordinator is responsible for helping the photographers on all picture days Fall, Fall Make-up, and Spring pictures. They schedule additional volunteers for each day 6 total are needed for fall, 2 total for Fall Make-up day, and 6 for spring pictures.
Principal Reading AwardResponsible for collecting monthly reading logs from classes and tabulates totals to award prizes at the end of the year.
ReflectionsAs the reflections chairperson you would first send out a flyer with the information about the competition with a sign up sheet to be returned to the teacher by each student interested. It is also wise to have a return date for the interest sheet. These are then returned to you in the reflections folder in the office.
The next step would be to return instructions to each student interested. These instructions will include a copy of the basic rules, the rules for the project they are doing (Literature, Art, Etc..), the official sign up sheet, and all the dates for entry. It is also a huge help to have specific instructions for the parent and student to help your job go a little easier. These packets will be handed out individually to each student. They can be given to the teacher in their boxes to be distributed.
The Reflections Chair would then send out a reminder flyer to the students a couple of weeks before the due date in the Monday envelopes.
Once the students have finished their projects they can hand them in to the office to be given to you to judge. A suggestion would be to have a judge for each category. It can be a lot of work. Also have the student turn in their projects a week before you have to turn them into the official judge. This is due to the fact that you must check each project to make sure that everything is done right. If not that gives you time to correct anything needed.
You are then ready to drop them off at the official judges house who will then send them on to the next level.
Each flyer needed to be given out has an example in the reflections chair folder. There is also a very clear set of rules sent out in a reflections pamphlet each year for the chairperson.
It's NOT as hard as it sounds and the students love it!
Room Parent CoordinatorThe main reposibility of this moiola_position is to help find room parents for each class by sending home memos during the first few weeks of school until we had a volunteer(s) for the moiola_position.
Once the volunteers' information are collected, the Room Parent Coordinator can then help inform room parents about any information from fundraising, need for volunteers for events, to ideas for gathering volunteers and planning events, sample memos and any support they need to help their individual classroom.
Special Persons DayResponsible for organizing food and volunteers for the event held the Wednesday before the Thanksgiving holiday break.
SpiritwearResponsible for ordering and selling spiritwear shirts, hats, sweat jackets etc.
Staff AppreciationMostly resposible for decorating the teacher's lounge and occasionally providing treats to the staff to remind them how appreciated they are by the parents and students.
Web SiteThis person will be responsible for maintaining the Moiola website.
Additional duties includes gathering accurate and current information from various sources to be displayed on the site. Must first verify with the PTA President as to the appropriateness of new information to be posted.
8th Grade ChairThis moiola position is responsible for coordinating (with the assistance from other 8th grade parents) various activities from planning the graduation party to field trip fund-raising ideas for the 8th grade and other 8th-grade promotional events.
ACE RepresentativeThis position meets with the FVSD Superintendent once of month to discuss legislation and district issues and give a report at our monthly PTA meeting or in our PTA newsletter.
Publicity/PostersResponsible for creating posters and flyers to advertise PTA events when needed.
Scrip CoordinatorThis moiola_position is responsible for collecting and distributing srip orders to the various classrooms. Additional assignments include maintaining scrip order forms with current vendor information.
